For franchise advisory councils

The same record, read from both sides.

For the units your members operate, they are reading the source itself. The same franchisee record, the same locations, the same territory and assignment head office is looking at, at the same moment. No monthly extract, no version that is three weeks old, no waiting on someone to run a report.

That single fact settles most of what a council brings to a meeting. What follows is what it gives your members day to day, what your brand gets to choose, what we are building next, and then every permission in full — each one read from the system that enforces it, so when the software changes this page changes with it.

What it gives your members

Six things a franchisee has on their side of the relationship that they did not have in a shared drive.

Enquiries that arrive whole

A customer searches for the brand near one of your units. The enquiry routes by territory and lands with that franchisee at the moment it comes in, carrying the name, phone, email, notes, and the consent record. Territory routing is also what settles the argument about whose enquiry it was, before it becomes an argument.

Territory you can look up

The assignment is a live record, including whether it is exclusive, protected, or non-exclusive. A member no longer has to ask head office what protection they have, or trust a memory of a conversation from four years ago.

A local voice on the brand’s site

Members write and publish pages about their own locations — hours, team, what is different about the unit — and they go live without a ticket or a queue. Local knowledge stops being something head office has to be persuaded to publish.

The tools they already run keep running

An owner can send the enquiries from their locations straight into the CRM they already pay for, and set that up themselves. Nobody is asked to abandon a system their team knows in order to satisfy a brand rollout.

Brand communication in the same place

Published announcements land where the work is, not in a group chat somebody left. What was announced, and when, is on the record for both sides.

An assistant that works for them too

A franchisee can connect an AI assistant to their own account and ask it to do real work, held to exactly their own permissions. The automation is not something head office gets and the network hears about.

What your brand chooses

A short list, and your franchisor can show you every item of it on screen: who holds which role, whether head office sees customer details in full, whether sign-in runs through your brand’s own accounts, which extra fields exist on a franchisee or location record, and which outside systems receive enquiries. Nothing on that list can widen what a role is permitted to do.

The data stays portable

Franchisees, locations, people, and form submissions all export in standard formats, and every brand gets its own API for anything more specific. No upgrade tier, no support ticket. A brand that decides to leave takes its records with it.

What we are building, in public

Our roadmap is public. It carries no dates, because a dated roadmap shown during a franchise sale can be read as a promise. It does say plainly what is live, what is being built, and what we are only exploring, so a council can check for itself whether something it raised is being worked on.

And the part councils ask about first

Reading the same record raises the obvious question, so here is the precise answer. Two separate mechanisms decide what a franchisor sees of your customers. One limits which records they can open at all. The other strips the personal details out of anything they can open. Both are on before anyone touches a setting, which means the cautious configuration is the one a brand starts with.

  • By default a franchisor sees how many customers a unit has and what stage they are at. Not the name, the email, the phone, or the notes.
  • Your own view is never filtered. Members see the records for their units in full.
  • A brand can choose fuller visibility, usually because it runs marketing or a call centre centrally. It is a deliberate change, not a default.
  • When details are withheld, the system records that it happened.
  • Who holds which role is your franchisor’s decision. What a role is allowed to do is not: those limits are written into the product, identical for every brand, and no settings screen widens them.
  • All of this concerns access. Who owns the customer data is a separate question, and your franchise agreement answers it.

Every permission, in full

The complete picture, action by action. Each mark below is resolved against the same rules the application applies to every request, so this table cannot claim a boundary the software does not enforce.

How to read it

You
The role your franchisee users hold.
HQ staff and HQ admins
The two franchisor roles with real reach. Admin and support are the same, so they share a column.
Your own, and network
“Your own” stops at the franchisee a person is attached to. “Network” reaches every franchisee in the brand.
A dash
Cannot do it. Not discouraged from doing it.

Customer records for your units

Customer enquiries captured for your units. These rows are about who can see and change a record. Who owns the data is a separate question, and your franchise agreement answers it.

Questions councils ask

Can head office read our customers’ names and phone numbers?
Not on the default setting. They see counts, stages, dates, and who owns the record, and the name, email, phone, and notes are stripped out before the data reaches them. A brand can choose fuller visibility, and your franchisor can show you which setting yours runs. Either way, your own view of your units is never filtered.
Can our territory be changed without us?
Territory permissions sit with head office, as they did before the software. What changes is that your assignment is now a live record you can open at any time, including whether it is exclusive, protected, or non-exclusive. A change is visible on your side, not only on theirs.
Can we edit our own records?
Your franchisee record, locations, territory, and assignments are read-only on your side, because keeping them accurate is head office’s job rather than yours. That is a responsibility off your members, not a door closed to them: nobody is chasing a franchisee to correct an address the brand also holds, and nobody is on the hook when the two versions disagree. What changes is that you can open the record at any time, so an error is something you spot and flag in a sentence instead of something that surfaces in an audit two years later. Where your own judgement is what matters, your members hold the pen: they write and publish their own location pages, and they work their own enquiries without waiting on anyone.
What can an AI assistant do with our data?
Exactly what the person who connected it can do, and nothing more. An assistant connected by a franchisee owner reaches one franchisee. One connected by a franchisor admin is held to the same limits on customer details as that admin. There is no service account with wider reach.
Does another franchisee ever see our numbers?
No. Each brand is walled off from every other brand, and within a brand your records are filtered out before they are ever fetched, rather than hidden in the interface afterwards.
If the brand leaves FranOps, what happens to our data?
It exports in standard formats, and the brand’s API stays available for anything more specific. Who runs that export and what they do with it is between the brand and its franchisees. Nothing in the product holds it back.
What should we be asking our franchisor?
The useful questions are the ones only they can answer: which visibility setting the brand runs, who holds admin, what enquiries are routed centrally versus locally, and what they intend to do with the reporting. Every one of those is answerable from a screen they already have.
